Create a checklist template

Build a step-by-step photo checklist so members capture each task in order.


You want crews to capture a job step by step, such as before and after shots, inspections, or quality checks, so nothing is missed and every photo maps to a task. Create a checklist template and publish it to the team, and members work through it in the App.

Checklist templates can currently be created only in the Timemark App. On the web, Teamspace shows a Checklist entry that points you to the App. This is the opposite of Photo Templates, which are created on the web.

  1. In the App, open the Checklist tab.
  2. Tap Create a checklist, or + New checklist from the switcher.
  3. Choose a preset to start from (Before & After, Inspect Checklist, or Quality Check), or tap + Create from scratch for a blank checklist. A blank checklist starts with two required Photo steps.
  4. Enter a checklist Name. It’s required and can be up to 100 characters.
  5. Tap + Add Step and pick a step type (see the table below). Drag the handle on a step to reorder it.
  6. Set each step’s options from its ••• menu, including the Required toggle.
  7. Tap Publish, then confirm. Publishing checks that the checklist has a name and at least one step.

A toast confirms the checklist is published, and team members see it in their Checklist tab.

Character limits: checklist name up to 100, step name up to 50, each Choice option up to 50.

A published checklist appears in each member’s Checklist tab. They work through the steps in any order, capture or fill in each one, and tap Submit once all required steps are done. Submissions roll up under the project’s Checklists tab in Teamspace.

  • Checklist templates can’t be created or edited on the web yet. Use the Timemark App. The web only links you to the App.
  • A Choice step needs a step name and at least two options before you can save it.
  • Submitted checklists are final. Neither admins nor members can edit or delete a submitted record. If a photo in a submission is later deleted, it shows a placeholder labeled “Deleted by [name] · [date]”.
  • Editing a published template doesn’t change checklists members already submitted. Only new submissions use the updated steps.
